The nomination flow

How nominating works for school-linked teachers — plus what coordinators see when reviewing.

What this guide covers

  • when a new student becomes a nomination instead of an active record
  • what the system writes when a nomination starts
  • how coordinator confirmation and rejection work
  • what teachers should check after they submit
  • what the coordinator review interface looks like

This guide shows how the nomination flow works in Superadjust when a teacher is linked to a managed school. It matters because adding a student in this setup can create a pending nomination instead of a final active student record.

When does the nomination flow apply? The nomination flow only applies when your school has an NCCD Coordinator. If you are a teacher without an NCCD Coordinator at your school and you just have your own account, you will not need to nominate students — you can create active student records directly. If you are a teacher at a school with an NCCD Coordinator, you can still log evidence to a student even if they have not been confirmed yet by the coordinator.

Step 1: Know when nomination is triggered

Nomination is tied to school setup, not just the add-student form. The branch is triggered when the teacher is school-linked and the school already has an active coordinator.

  1. 1.Start from the normal add-student flow.
  2. 2.Check whether you are working in a managed school with a coordinator.
  3. 3.If you are a school-linked teacher and not a coordinator, the new student is created as a pending nomination instead of an active record.
  4. 4.If you are in a private or standalone teacher workspace, this nomination flow does not apply.

Step 2: Understand what gets written

When nomination is triggered, Superadjust stores a pending student record and adds the details the coordinator needs for review. Some values are also defaulted at this stage.

  1. 1.The student record is created with status set to 'pending'.
  2. 2.The system records who nominated the student and when the nomination started.
  3. 3.Adjustment level defaults to QDTP and level status is set to pending.
  4. 4.NCCD category is usually set to Uncategorized at this stage.
  5. 5.Diagnosis status is set to unspecified until the record is reviewed.

Default values when nomination is triggered

FieldDefaultReason
Student statusPendingThe record waits for coordinator review before becoming active.
Adjustment levelQDTPDefaults to the lowest level until coordinator confirms otherwise.
Level statusPendingIndicates the level has not been confirmed yet.
NCCD categoryUncategorizedPlaceholder until coordinator sets the final category.
Diagnosis statusUnspecifiedNo diagnosis certainty is recorded until review.

Step 3: Check the coordinator review path

Once the nomination is in the queue, the coordinator becomes the next decision point. They can confirm the student or reject the nomination.

  1. 1.The coordinator reviews pending nominations from the school queue.
  2. 2.When confirming a nomination, the coordinator must provide an adjustment level and can also set the NCCD category.
  3. 3.Confirmation changes the student from pending to active and records who confirmed it and when.
  4. 4.If the coordinator rejects the nomination, the system stores the rejection metadata and notifies the nominating teacher.
  5. 5.After submission, a profile can also be locked so non-coordinators cannot edit it until it is unlocked.

How each stage works

Flow stageWhat happens
Teacher adds studentThe normal create flow starts.
Nomination triggeredThe record is saved as pending for coordinator review.
Coordinator confirmsThe student becomes active and the level is confirmed.
Coordinator rejectsThe nomination is rejected and the teacher is notified.

This flow only applies to school-linked teachers working in a managed school with a coordinator. Teachers in private or standalone workspaces can create active students directly.

For Coordinators: Reviewing nominations

If you are an NCCD Coordinator, you will see pending nominations from teachers at your school. This section shows what the coordinator review interface looks like.

Coordinator only: The pending nominations view and review modal are only available for NCCD Coordinators. Teachers will not see this interface — they will only see the status of their submitted nominations.

Pending nominations banner

When there are pending nominations, coordinators see a banner at the top of their dashboard showing how many nominations are waiting for review.

The review nomination modal shows the teacher's note and required fields for confirmation

  1. 1.Read the teacher's note to understand why the student was nominated.
  2. 2.Review and adjust the Year Level and Class if needed.
  3. 3.Set the Adjustment Level (required) — this confirms the level of support.
  4. 4.Set the Disability Category (required) — this sets the NCCD reporting category.
  5. 5.Optionally set the DSM-5 Category if a formal diagnosis is known.
  6. 6.Click Confirm Student to make the record active, or Reject Nomination to send it back to the teacher.

Why this matters

The nomination flow protects school-level control over core student details in managed setups. It also creates a clear review trail by recording who nominated the student, who confirmed or rejected the record, and whether the profile is still pending or already active.

Common mistake

Assuming that saving a student always creates a final active record. In a managed school flow, the same action can create a pending nomination instead, so always check the student status after submission.

What to do next

After you submit a nomination, check whether the student is pending and wait for coordinator review before treating the profile as final.
